Define the record before protecting it
A usable model-release archive begins with scope. Keep the signed release, the final approved version and only the identity evidence genuinely required by the commissioning client, agency, platform or documented business need. A photograph of an identity document creates additional exposure and should never be collected merely because a folder exists.
A commercial photographer has one signed release, three emailed drafts, a passport copy requested by a former client and a later correction to the model’s stage name. The photographer confirms the current client requirement, retains the signed final and correction, records why any identity attachment is necessary and removes redundant drafts through an approved process.
Use a controlled sequence
- 01List every release, amendment, identity attachment and delivery receipt by job.
- 02Identify the person or organization that requires each item and the authority for access.
- 03Mark the signed final separately from drafts, previews and unsigned forms.
- 04Record whether an identity attachment is required, optional or no longer justified.
- 05Assign an owner, review date and retention trigger to the archive set.
Record the decision without copying the risk
Record the job identifier, release version, signature date, model reference, usage scope, required attachment category, authorized roles and next review date. Do not repeat full identity numbers, home addresses or document images in the index.
Stop and investigate when
- A draft and signed final cannot be distinguished.
- An identity scan has no documented recipient or purpose.
- Everyone on the production team can browse every release.
Storage protection is not legal authorization
Does not replace provider permissions, guaranteed backup, password recovery or enterprise identity management. Model-release requirements vary by intended use, platform, contract and jurisdiction. Obtain qualified advice for legal conclusions.
Questions commercial photographers ask
Does every recognizable person require the same release?
No universal rule is asserted here. Platform requirements, contract terms, intended use and jurisdiction differ. Confirm the controlling requirement.
Should the archive include raw identity scans?
Only when a documented requirement and appropriate handling basis exist. Minimize unnecessary personal data.
